What We Look At First

On the discovery call, we look at your current QuickBooks file (or spreadsheets, if that's where you are): whether you're on cash or accrual basis, how far back it's reconciled, whether deferred revenue is tracked at all, and how your cap-table-adjacent items (SAFEs, notes, option pool) are currently recorded, if at all. We give you a straight answer about what shape things are in and a fixed price to get to investor-ready before monthly service starts.

Converting Cash Basis to Accrual

If you're on cash basis, converting means building out deferred revenue schedules for any prepaid or subscription contracts, setting up prepaid expense amortization, and correctly reclassifying SAFE or note proceeds from revenue (where they sometimes get miscategorized) to liabilities. This is usually the single biggest structural change in a cleanup project, and it's the one that matters most to investors and diligence teams.

We give a realistic timeline upfront rather than let a cleanup project quietly stretch.

Once your file is accrual-basis, reconciled, and connected to your tools, you're ready to move into monthly bookkeeping without starting the cleanup cycle over every quarter. Most startups move directly from setup into ongoing monthly service — the discovery call covers both so you know the full cost of getting current and staying current.

How Long Setup Takes

A straightforward setup for a startup already on QuickBooks with roughly a year of transaction history usually takes two to three weeks. A full cash-to-accrual conversion with a longer history, or a migration off spreadsheets entirely, can take longer — we give you a realistic estimate on the discovery call once we've seen what you're working with, and flag early if something looks like it'll run past that estimate.

Moving From Another Provider
